Getting the right amount of ice prevents running out mid-party without buying far more than you need. Here is how to use the calculator accurately:
- Enter your guest count and event duration. The base rate is 1 lb of ice per person for drink chilling. Each hour beyond the first 2 adds 0.25 lbs per person since ice melts over time.
- Check hot weather if your event is outdoors on a warm day (above 85°F). This multiplies total ice by 1.5 because ice melts significantly faster in the heat and drinks need to stay cold through the whole event.
- Check food chilling if you are using ice in coolers to keep raw ingredients, buffet dishes, or beverages cold. This adds 0.5 lbs per person to the base calculation.
- Read the bag counts. The result shows total pounds and the equivalent number of 10 lb or 20 lb bags. Buy whichever size is more economical at your local store. Bags always round up so you will have a small surplus, which is preferable to running short.
